Who is responsible for the data

Contact and correspondence

When you contact us by form, email or telephone, we use the contact details and subject matter provided to respond and conduct correspondence. Providing data is voluntary. Without contact details, we may be unable to respond. Provide only information needed to discuss the matter.

If you request steps before entering into a contract with us, or we are performing it, the basis for necessary processing is Article 6(1)(b) GDPR. For other matters, including contact with a company representative, the basis is Article 6(1)(f) GDPR: our legitimate interest in handling enquiries and correspondence. On the same basis, we may help direct the matter to a business partner after agreeing this with you.

We process data needed to meet legal obligations, particularly accounting and tax records relating to cooperation, under Article 6(1)(c) GDPR. Data needed to establish, exercise or defend claims is processed under Article 6(1)(f) GDPR — our interest in protecting our rights.

How long we retain correspondence

Once a matter is closed, we delete unnecessary messages. Where correspondence documents cooperation, we retain the necessary part for its duration. Further retention depends on the document type and purpose:

• documents subject to a legal obligation — until the retention period required for that document type expires, calculated under the applicable provisions;
• material needed to establish, exercise or defend a specific claim — until its limitation period expires, taking into account events affecting that period;
• material relating to ongoing proceedings — until their final conclusion and implementation of the decision, if still needed for that purpose.

We do not retain all correspondence merely because some documents have a longer retention period. Data whose stated purposes have ended is deleted or anonymised. Deleting a message from the active mailbox does not immediately remove it from the provider's backups. Backups support data recovery and have a separate retention cycle.

Website visits and technical logs

Connecting to the website requires technical data to be sent to the server, including IP address, request time and requested resource address. Technical data may be recorded in logs needed to maintain website operation, diagnose errors and prevent abuse. The basis is Article 6(1)(f) GDPR — our interest in ensuring website operation and security.

Current logs follow the hosting service's rotation cycle. If we extract records for a specific failure or incident, we retain them until diagnosis is complete, the cause is removed and incident handling is closed. If selected records are needed to establish, exercise or defend a claim, the criteria described above apply. Security logs are not used to create advertising profiles.

Forms, calculators and files

Data entered in the contact form is sent to info@resinbau.eu to handle the enquiry. The form does not store message content in a separate enquiry database. To limit abuse, we use a technical identifier derived from the IP address and submission attempt times. Entries older than 24 hours are automatically deleted on the next use of the form. Identifiers are not used for advertising or tracking across websites. The website does not offer newsletter subscriptions.

Calculators are intended for technical calculations. Do not enter customers' or contractors' personal data. Calculations and PDF preparation take place in the browser, and downloaded files are saved on your device. Website access and resource downloads remain separate connections as described above.

Cookies, analytics and external links

Google Analytics remains disabled. This version of the website does not run analytics or advertising based on cookies or similar technologies. Before any consent-based analytics is introduced, we will present its purposes, provider, data scope and retention rules. Refusal will not restrict access to content or calculators, and consent can be withdrawn in privacy settings.

Links may lead to other websites, including videos. After following a link, the external website operator processes data according to its own stated rules.

Who may receive data

Website hosting and the info@resinbau.eu mailbox are provided by LH.pl sp. z o.o., based in Poznań. Data is available to the infrastructure provider as needed to deliver these services, and to persons authorised by ResinBau to manage the website and correspondence. Data may be disclosed to competent authorities where required by law.

We may forward selected enquiries to HAMMPACK or the operator of Pakery.pl after first agreeing the recipient, purpose and scope with you. This is not automatic. We share only information needed to handle the agreed matter.

Your rights

Under the conditions set out in the GDPR, you may request access to, rectification, erasure or restriction of processing of your data. You may object on grounds relating to your particular situation to processing based on legitimate interests. Data portability applies where processing is automated and based on consent or a contract.

Where processing relies on consent, you may withdraw it at any time; this does not affect the lawfulness of earlier processing. You may also lodge a complaint with the President of the Personal Data Protection Office. To submit a request concerning your data, contact us at info@resinbau.eu.

In the website operation and correspondence described, we do not make decisions about you based solely on automated processing that produce legal effects or similarly significant effects on you.
